This article gives a general comparison between the two options for accessing your Affiliated email from a PC or MacBook: The Outlook Desktop app OR use the OWA (Outlook Web App) via a web browser.
- *NOTE* Outlook desktop can only be utilized if you have a O365 license that supports its activation. While C21 Affiliated staff and leadership are able to activate O365 desktop apps using their Affiliated email, C21 Affiliated agent email does not have the necessary licensing to activate any O365 desktop apps!
Outlook Desktop
Conveniences:
· Enhanced user interface
· Lots more manageability and customization
· Multiple 3rd party mailboxes can be added (provided you have usernames, passwords, and server information for the connection)
· If an affiliated user mailbox (like jdoeadmin@c21affiliated.com) has delegated access to a shared mailbox (like adminofficename@c21affiliated.com), those mailboxes will be visible in the same window
· The affiliated mailbox user would be able to send email as any of the mailboxes using the Outlook apps Send As/From feature (*this is not turned on by default and must be enabled here:
Inconveniences:
- Inconvenience of having to install the app - the O365 suite must be installed a computer
- Inconvenience of having to change the o365 license when a new admin starts at the office (The office computer usually has a single admin Windows profile, and that profile has a single instance of O365 licensed to it. So, when an admin is de-hired, their O365 account is turned off and that breaks the O365 license on that Windows profile until the new admin signs into the apps anew.)
- Inconvenience of having choose which affiliated account to send from - (There is no way to change how the send-as/From function works for a shared mailbox in the outlook desktop.)
Outlook on the web
Conveniences:
· Simplified interface
· Easier to configure mail filtering rules and junk filtering rules
· Clear separation by having affiliated user mailbox in one browser tab and having a shared mailbox open in another browser tab
· Theme customization (making the background display differently for each mailbox so you know which one you are working in)
Inconveniences:
· Using a simplified interface can be an adjustment if you are not use to it
· Not be able to see 3rd party email or calendars in one window
· Lack of advance customization and manageability - such as: can’t integrate 3rd party desktop addons
· If switching from the outlook desktop to outlook on the web, some personalized content may need to be recreated (such as: email signatures, mail templates, personally created mail groups, any contacts that were not already saved in the affiliated shared mailbox)
· Having to sign into your personal affiliated mailbox every time in order to access a shared admin mailbox - (example: for jdoeadmin@c21affiliated.com to open adminofficename@c21affiliated.com - in a web browser, the admin would need to click on their profile Icon in outlook web and select switch accounts. This would NOT have to be done every time if separate bookmarks are created for each mailbox and the primary account (jdoeadmin@c21affiliated.com) selects to stay signed into the web browser; in this way, adminofficename@c21affiliated.com could open in one tab and jdoeadmin@c21affiliated.com open in another (if that's what they want). Also, most web browser can be configured to auto launch a specific set of tabs at start up if desired - just ask the helpdesk if you need assistance with that setup.)
